ROSTERS AND READINESS

Rosters and qualification tracking that know who can actually go.

Sinkaos keeps people, qualifications and kit in one place, suggests a roster with its reasons, and leaves the approval to a person. This is the RESOURCE stage of the Sinkaos loop: it reads who and what you have from your world model, and once the roster is approved each phone downloads its own mission pack.

THE ROSTER TODAY

The spreadsheet says she is qualified. The certificate ran out in March.

Training records sit in one spreadsheet, the rota in another and the kit list on a clipboard in the store. Whoever builds the roster carries the rest in their head: who holds the boat ticket, who has done three weekends running, which vehicle is off the road. When someone drops out on Friday night, the answer is a phone round.

The dates behind this are real obligations. HSE says first aid at work certificates last three years, and first-aiders need to requalify before they expire. Equipment used to lift people must be thoroughly examined every six months, or as a written examination scheme sets out. Each date is simple on its own. A team with dozens of them, per person and per item, needs to see what they mean for Saturday.

A WEEKEND ROSTER

A two-day event, from the compliance matrix to every phone.

  1. Mon
The plan says what it needs
The plan for a riverside festival calls for six first aiders, two boat crew, four drivers and a duty lead on each day. A feasibility check compares that with the people, qualifications, vehicles and equipment available.

  2. Tue
    The matrix shows the gap
The compliance matrix shows who is current, due, overdue or missing a qualification. One first aider is overdue and two boat crew are due this month. The overdue one enrols on Thursday’s course.

  3. Wed 10:00
A roster is suggested, with reasons
Sinkaos proposes someone for every role, ranked on qualifications, experience, fairness and distance. It shows why each person was suggested or left out, and keeps hard rules apart from preferences.

  4. Wed 11:30
    A person approves it
The duty manager locks two names, overrides one choice and keeps two reserves. Nothing is published until she approves it.

  5. Thu
    The kit gets checked
The loadout reserves boats, radios and first aid kits and catches a clash with a training session. One radio is in repair and one kit has expired consumables, so both are swapped before they are issued, with a QR scan.

  6. Sat 06:30
    A change on the day
A driver cancels. The gap shows up as a staffing alert, the duty manager picks a reserve, and the updated assignment reaches that phone.

PEOPLE AND KIT

Qualification tracking, rosters and equipment readiness together.

Compliance matrix

Who is current, due, overdue or missing a required qualification.

Qualifications with evidence

Training, badges, roles, languages and driving licences in one model, with expiry and rules such as “renew first aid every 12 months”.

Expiry alerts

Reminders before things expire, and staffing alerts for gaps and shortages.

Suggested rosters

Availability, existing commitments and travel time count. A person approves the result.

Workforce system connections

Connect the volunteer and staff management system you already use, and import shifts and positions from it.

Kit readiness

Usable, incomplete, broken or in repair, with maintenance and inspections that change the status.

Loadouts

What an operation or exercise needs, what was issued and what came back.

Vehicles

Inspections, defects and repairs, so a plan does not assume a vehicle that is off the road.

ON FRIDAY NIGHT

What the person building the roster can check, and where.

WORTH KNOWING

What rosters in Sinkaos do not do.

It is not an HR or payroll system
Sinkaos does not run pay or employment records. Keep your HR or volunteer system and connect it.
It imports only what staffing needs
Bank details and home addresses stay out of Sinkaos.
The suggestion is only a suggestion
People can lock, override and keep reserves. A roster goes out only when a person has approved it.
Renewal rules are yours to set
Sinkaos applies the periods you enter. Whether they match the law, your insurer or an awarding body is for you to confirm.

QUESTIONS

Questions about rosters and qualifications.

Does Sinkaos replace our HR system?
No. It works next to the system you already use, and only staffing-relevant details are imported.
How does it choose who to suggest?
It ranks people on qualifications, experience, fairness and distance, and takes existing commitments, time clashes and travel time into account. Hard rules and preferences are kept apart, and each choice comes with its reason.
What happens when a qualification expires after the roster is approved?
Sinkaos tracks it as a staffing change and raises an alert, so someone can react before the shift. Renewal courses can be scheduled from the same place, as described under training and exercises.
Which workforce systems can it connect to?
Connections are set up per organisation. Tell us what you use on the early access form.
Can kit be checked out without signal?
Yes. Check out and return work offline, with barcode or QR scanning, and sync when a link appears.
